Fred,
As an alternative to scanning you can use a digital camera to take a picture
of the whole document (old newspapers, books, etc., can be hard to fit into a
flatbed scanner). Place the item flat and the camera on a tripod. Use the
self timer in lieu of a cable release to eliminate camera shake. Flash can be
used depending on the reflectivity of the subject - you will have to judge. I
have used my camera this way several times instead of writing down all the
info on used car ads - just take a close up picture of the sign! Don't worry
about exposure or color balance too much...most photo software can correct
this.
What's IS important is to take a sharp picture.
My 81 year old father is our town historian (Oradell, NJ) and he gets
excellent results copying documents this way for his research. He doesn't even
have
a high resolution camera (only 1.2 MP). You can also OCR convert the text
from a digital picture and import it into a document. Plus, it's a relatively
convenient way to get large materials "out" of a library without actually
checking them out! Especially if you only need one or two pages out of some
large
reference volume.

Fred, if you do not have the setup to scan these sheets, I am sure that we
can find a lister local to you who can scan them and handcarry them back to
you. Once files are created, you can keep the originals safe and carry
paper copies around to all the shows. Meanwhile, electronic copies can be
sent to anyone who requests them.
